Registering and importing dental equipment in Kenya

Kenya controls imported dental equipment on two tracks. The Pharmacy and Poisons Board registers the device; KEBS and customs control the shipment. They involve different documents and different people, so it pays to start both early.

PPB registration. Under the 2022 Registration of Health Products and Technologies Rules, no medical device may be imported or sold in Kenya unless it is registered with the PPB. A manufacturer outside Kenya applies through a Local Authorised Representative — a Kenya-registered company holding a PPB trading licence and the manufacturer's letter of authorisation; in practice this is the dealer or importer. Devices are classed A to D by risk, evidence of ISO 13485 and CE or other reference-country approval is accepted, and the registration certificate is valid for five years. The class of a dental chair or dental unit is confirmed by the PPB on application; low-risk devices follow a lighter route. We supply the manufacturer's part of the dossier — quality certificates, technical file, declaration of conformity, labelling and instructions in English — against the model numbers on your order.

KEBS PVoC and customs. Kenya requires a Certificate of Conformity issued in the country of export before the goods are shipped. Appointed inspection agents (SGS, Bureau Veritas, Intertek, TÜV Rheinland, CCIC and others) inspect at the factory or the port of loading; a shipment arriving without a CoC is inspected at destination and charged a penalty fee. Your clearing agent opens the Import Declaration Form on the Kenya TradeNet single window, and from October 2025 a certificate of origin is mandatory for all imports. Duty is assessed under the East African Community common external tariff; several dental tariff lines and sterilisers are listed as VAT-exempt in the VAT Act schedule, while the treatment of dentists' chairs should be confirmed with your agent for the specific tariff line. The PVoC inspection takes place at the factory before loading — we coordinate it with the agent your importer or forwarder nominates — and we prepare the invoice, packing list and certificate of origin to match your IDF.

Power, air and water in a Kenyan clinic

Kenya's mains supply is 240 V at 50 Hz with Type G (British three-pin) sockets. Order the standard 220 V / 50 Hz version of our chairs and compressors and tell us your supply is 240 V; the electrical specification is confirmed on your proforma invoice.

Supply reliability is the more practical concern. The regulator's own figures show unplanned outages running at roughly ten hours per customer per month in 2023–24, about double the target, so most Nairobi clinics run the chair through a UPS or voltage stabiliser and keep a generator for the compressor. Three practical points:

• Size the backup for the compressor. The chair itself draws little; the air compressor decides whether a UPS or a small generator copes. Ask us for the running and starting current of the compressor you choose.
• Protect the control unit. A stabiliser on the chair's supply prevents the surge damage that follows a switch-over to generator power.
• Oil-free compressors suit irregular servicing — no oil changes — and a dryer keeps handpiece air dry in Mombasa's humidity.

Water: the dental unit runs on filtered water; where the supply is inconsistent, use the bottle-fed system. The autoclave runs on distilled water; a 4-litre distiller covers a single-chair practice.

Shipping from Foshan to Mombasa and Nairobi

Our factory is in Foshan, an hour from the container ports of Guangzhou (Nansha) and Shenzhen. Sailings to Mombasa take about 20–30 days port to port, with the fastest direct services from Nansha at around 17 days. From Mombasa, containers for Nairobi move by the standard gauge railway to the Nairobi Inland Container Depot at Embakasi in under eight hours, or by road in roughly a day; your clearing agent chooses depending on where clearance is done.

A single chair or a small first order goes as LCL (shared container); a first order for resale is usually a 20 ft container. The packing data we send with every quotation lists how many chairs and equipment combinations fit in a 20 ft and a 40 ft container. Small items — handpieces, curing lights, cameras — can travel by air to Jomo Kenyatta International Airport in about a week; Guangzhou has direct flights to Nairobi.

We quote FOB Guangzhou or Shenzhen for dealers with their own forwarder, or delivered to Mombasa when you prefer one price that includes the sea freight. Payment is by T/T or L/C; lead time is confirmed on the proforma invoice and sample units ship first.

Buying as a clinic or as a dealer

Clinics. Yes, we sell single units directly — one chair for a new practice, or a replacement for an old unit. In Kenya we will usually introduce you to our distributor, who holds the registrations and installs; where you prefer to import yourself, we support your technician by video during the first installation and supply the PPB and KEBS documents to your representative.

Dealers. Kenyan dealers work with us under the distributor programme: factory-direct pricing tiered by quantity, the registration document pack, marketing files, remote technical training and a spare-parts kit with the first container. Territory exclusivity is discussed once a partner meets an annual commitment. Most partnerships begin with a trial of one to a few units, then a first container once the chairs are registered and installed. Public-sector tenders through KEMSA and county governments are a second channel for dealers who hold the registrations.
